Office Assistant

Canton Free Library seeks energetic, organized, self-directed applicants for the part-time position of Office Assistant. The Office Assistant helps administrative staff with filing and organizational tasks, grant preparation, donation management, and banking. 

The position is sometimes supported by volunteers; currently there is one volunteer assisting.

Duties include but are not limited to:

  • Scanning & emailing bills to bookkeeper
  • Filing paperwork
  • Maintaining & organizing paper files, including annual file cleanup
  • Copying and scanning documents
  • Checking and distributing incoming mail 
  • Mailing outgoing bills and packages
  • Bringing deposits to bank
  • Sending acknowledgements for gifts & donations
  • Updating library signage such as program notices
  • Tracking room rentals through a Google form and calendar
  • Preparing invoices for sponsored books, room rentals and other occasional charges
  • Assisting with website management: uploading board documents, keeping board information current, and similar maintenance tasks

Skills and Educational Requirements:

  • Strong communication skills
  • Demonstrated ability to maintain high level of accuracy and attention to detail
  • Ability to exercise discretion and confidentiality with sensitive tasks / information
  • Strong time management skills to prioritize work on a part-time schedule
  • Familiarity with filing and financial procedures
  • Punctuality in attendance and meeting deadlines
  • 2+ years experience in an office environment OR relevant coursework and some office experience
  • High school graduate

Pay rate is $17/hour. Benefits include Healthy NY health insurance with 60% employer match; SIMPLE IRA retirement plan with contributions matched up to 3% of annual compensation; paid federal holidays (depending on schedule); and paid vacation and sick/personal leave. 

Please note: This position is being co-advertised with the Administrative Assistant position at the St. Lawrence County Historical Association (SLCHA), and the positions are designed with a compatible schedule for an applicant interested in both, together equaling 33.5 hrs/wk.
